General objective of the job
The Human Resources Coordinator is responsible on all HR matters concerning the employee life cycle from recruitment, HR administration, performance management, learning & development, compensation and benefits to exit management within War Child in oPt. With the support from Head of Operations, the position holder will also lead on HR annual planning as well as the development of HR policies and its translation into practice in line with our organizational values, global standards and labor law. Finally, as a member of the Global HR team, the position holder will develop and implement initiatives to foster a positive and healthy working environment with key attention to employee wellbeing and Diversity, Equity, Inclusion and Belonging.
Position in the organization
The Human Resources Coordinator reports to the Head of Operations.
Responsibilities and Tasks
HR Coordination
Provide expert HR advice, support and coordination on HR matters to support the entire life cycle as well as the achievement of organizational needs (e.g. reward, performance management, global HR projects etc).
- With support from the Regional HR Advisor and Head of Operations, lead on global HR projects to contextualize and implement initiatives that support the needs of the staff in country.
- You monitor and promotes effective internal communication and active participation within the country.
- You keep updated HR files for the Country Office Staff.
- You keep updated on the available learning opportunities, both national and international, and proactively identifies, together with the CMT and keeps staff informed about these opportunities.
- When there is a problem between staff or within teams, in coordination with the Line Managers, the HR Coordinator pro-actively proposes solutions/alternatives to the CMT.
- Builds capacity of staff in the various offices on HR topics through on-the-job guidance and competency-building.
- In coordination with CD, leads team development and discusses career perspectives with staff; provides support to supervisors and staff on performance enhancement process.
- Ensures that visas and permits of national and international staff are arranged on time.
- Maintains an up-to-date HR overview and staff allocation sheet.
- Introduces managers and staff to WCH’s performance management system.
- Ensures that all performance management data is up to date.
- Ensure that the Absence Application for working for all the staff and providing periodic reporting to management.
- Ensures that staff requests are followed up on time as needed.
Result area: all administrative issues are followed up in such a matter that they all data are updated on daily basis.
Recruitment, Placement, and Departure
- Ensures that different departments are properly anticipating their HR employment and consultancies needs.
- Lead the recruitment process and participates in interviews as needed.
- Supervises and coordinates inductions, involving other departments when appropriate.
- Makes sure that there is a proper job description and/or ToRs for all positions.
- Prepares job offers and sends them to the CD to double check and approve.
- Makes sure that all staff receive a proper induction upon arrival.
- Coordinates and facilitates new staff induction plan including onboarding.
- Manages the debriefing of staff leaving WC oPt.
Result area: Recruitment is accomplished on time in such a matter that there is a job description for every position; selection, induction and departure processes are implemented effectively.
Payroll
- Manages and updates the payroll system for all national staff, in close coordination with the Head of Operations.
- Ensures that all relevant payroll information is received and processed in a timely manner.
- Ensures that all newly employed staff are entered in the payroll system.
Result area: All relevant payroll information is processed in such a way that staff are paid on time.
Policies & Procedures
Qualifications and Experience
- Bachelor’s degree in human resources management or similar degree.
- Minimum of 4 year of relevant experience in a similar position preferably within an NGO or INGO.
Knowledge and Skills (Competencies)
